Adding an E-mail Address

1.    The Address Maintenance screen can be used to store both personal and business email addresses.  At the Main Menu, type ADR and press enter.  A blank ADR screen will be displayed.
 
 








2.    At the Person Lookup prompt, type the name or ADAM ID of the person for which you wish to enter an email address for.

3.    At the person's Address Resolution screen, type "A" to add a new address.

4.     In the first line of field #1 Address type the individual's email address.  At the beginning of the entry type the equal sign, which forces the capitalization to remain exactly as it is typed. For example, =ljwest@siu.edu

5.    Click Field Jump and go to field #5 Type.  Click Field Help, then Help for a code table of address types.  Chose either Email-Home or  Email-Business.

6.    Click Field Jump and go to field #20 Source.  Click Field Help, then Help for a code table of sources of information.  The date and operator code will be supplied by the system.








7.    Click Finish, then OK to save the information and return to the main menu.

Please note:  If an individual has provided us with more than one email address (home and business email, for instance) AND has indicated which one he or she prefers to receive email at, then enter both addresses (on separate screens) and code the preferred email address with PRERFEMAIL in field #10 Address Rules.  This rule will apply ONLY to this specific address.

Changing an E-mail Address

Updating an e-mail address is just like updating any other kind of address on ADR.  If you type the new address over the old one and update, you will be asked if you want to keep address history.  The only way you will lose the old address at this point is if you answer N to this prompt.  As long as you answer Y, the old address will automatically be formered and the new address retained.
