Mailing Label Special Cases

If an individual has returned a mailing label or piece of mail with a note indicating that his or her spouse is not an alum and should be removed from the label, do the following:

1.    On SPO, go to field #13 Joint Label and add the person's name in window one as it should appear on the label (e.g., Mrs. Priscilla Presley).  This will override our mailing label default, which is to stack the two names.  Field #11 Joint Mail MUST equal Y.



2.    Go into the spouse’s record on the ADR screen and field jump (F4) to field #10 Person Rules and add the DNCALLALL mail rule.  You will be asked if you want to update the spouse mail rules.  Choose No.


3.    On DGR, go to field #2 Acknowledge Method and enter a C for Combined.  Then, go to field #3 Joint Salutation and type the person's name as it should appear in a formal salutation (e.g., Mrs. Presley.)  This will override the salutation default, which is to include both names.


3.    Set up an SRK (see procedures for creating a special remark) explaining the situation.  For field #1 Type use FGIFT (Foundation Gift Info.) and for field #3 Code use FSGFT (Special Gift Case.)  If necessary, also explain any changes in gift allocation.  The SRK should be applied to both the alumnus's record and the spouse's record.
